HR tasks
An HR task is the individual unit of fulfillment work under an HR case. A case can generate more than one task, and it doesn’t close until its tasks are dealt with — closed, skipped, or cancelled.
Task types
Section titled “Task types”Each HR task carries an HR task type, which shapes what completing it actually involves:
- Standard — ordinary fulfillment work.
- E-signature — collecting a signature on a document.
- Document — generating a document (an offer letter, a policy acknowledgement, and similar).
- Collect user input — gathering information from the employee before work can continue.
- Approval — a gate that requires a decision before the case can move forward.
Parent case
Section titled “Parent case”Every HR task carries a Parent (HR Case) reference — a mandatory, read-only link back to the case it belongs to. A task isn’t a sub-type of the case (the way a Complaint Case is a case subtype); it’s linked by reference, so a case’s tasks appear as a related list rather than as child records inheriting the case’s own fields.
States
Section titled “States”| State | What it means | Typical next action |
|---|---|---|
| Draft | Created but not yet released to the queue. | Ready for Work |
| Ready | Released and workable, but not yet assigned to a specific agent. | Start Work, or wait for it to be assigned |
| Assigned | Routed to a specific agent. | Accept |
| Accepted | The agent has accepted the task. | Start Work |
| In Progress | Actively being worked. | Close Complete or Close Incomplete |
| Skipped | No longer required — for example, when a downstream change makes the step unnecessary. Terminal. | — |
| Closed Complete | Terminal, successful. | — |
| Closed Incomplete | Terminal, unsuccessful. | — |
| Cancelled | Terminal. | — |
Actions
Section titled “Actions”- Assign to Me — claim the task, available in every active state (Draft through In Progress).
- Ready for Work — Draft → Ready.
- Accept — Assigned → Accepted.
- Start Work — Ready, Assigned, or Accepted → In Progress.
- Skip — Draft, Ready, Assigned, or Accepted → Skipped; asks for work notes explaining why.
- Close Complete — In Progress → Closed Complete; asks for work notes.
- Close Incomplete — In Progress → Closed Incomplete; asks for work notes.
- Cancel — any active state → Cancelled; asks for work notes.
Related records
Section titled “Related records”A task’s related lists depend on its type — E-signature outputs and Generated documents for the e-signature and document task types, and Approvers for an approval task. Each task also carries its own Priority, Due date, and Percent complete, independent of the parent case’s own priority.
